Decide what each record represents

These details serve different purposes on recorded time.
DetailPurpose
ClientThe customer associated with the work, with contact details and an optional default contract.
ContractA named hourly billing rate employees can select for their time. It is separate from an employee's pay rate.
DescriptionThe explanation of what was done on the time entry.
Work siteThe recorded location or remote-work context. Site tracking and location review have their own settings.

For example, a client could be North Office, its default contract could be Office support, and an entry description could be Monthly records review. The work site identifies where that work happened.

Create the hourly contract first

Managers: open Contracts.

  1. Select Add contract.
  2. Enter a recognizable Contract Name.
  3. Enter Price Per Hour. Zero is allowed; negative rates are not. The maximum is 999,999.99.
  4. Select Add and confirm the contract appears in the list.

Use names that distinguish the work or rate arrangement, especially when several contracts have similar prices. A contract record contains a name and hourly rate; adding one does not generate a signed agreement or an invoice.

Contract rates are billing rates.

Employee pay rates are separate. Changing Price Per Hour does not change an employee's compensation rate.

Add the client and its default

Managers: open Clients.

  1. Select Add client and enter the required Client Name.
  2. Optionally select a Default Contract from the company's active contracts.
  3. Add contact name, email, phone and address details as needed. An entered email must be valid.
  4. Select Add, then check the client and default contract in the list.

Contact and address fields are optional. Saving a client contact does not create a user account or give that person access to your company workspace.

A contract can be the default for more than one client. If a client has several work arrangements, employees should check the contract on each entry rather than assuming the default always applies.

Choose which details employees see and must enter

Open Company Settings and find Employee time-entry fields.

Visibility and required-entry controls are separate choices.
FieldVisibility settingRequired setting
ClientShow client selectionRequire a client
ContractShow contract selectionRequire a contract
DescriptionShow descriptionsRequire a description
  1. Create active client and contract choices before requiring them.
  2. Enable the corresponding Show setting for each field you require.
  3. Select Save company settings.
  4. Ask an employee to check the available fields on their next normal entry.

Upper management can change these choices to fit the company's workflow. An optional field can still be useful for reporting. Hiding a field does not remove assignments already saved on historical time.

Requiring a field does not fill it in on older records. Managers should review existing missing details, especially before period submission or closing. Manager entry tools can leave required details incomplete, so review the records rather than treating a successful save as proof of completeness. See the missing-detail reminder guide.

Check the selections before saving time

Employees should select the client for the actual work, check the contract and enter the required description. In the web time-entry form, changing the client selects its default contract when available; a client without a default can leave the contract blank. Recheck the contract after changing clients.

A default does not replace the contract already saved on an existing entry when a manager later edits the client record. Review the entry itself when a different assignment is needed.

Keep planning and location changes separate

Schedules can include clients and contracts, but planned work is not recorded time. Confirm the actual time entry, following the scheduling guide.

A work site can be linked to a client to help with selection. Transferring an active shift between sites does not change its client or contract. See the work-site guide for location transfers.

If the work changes to another client or contract during a shift, record the appropriate separate work periods using your company's permitted workflow. Ask a manager when you cannot make the needed entry; changing a whole entry's assignment would attribute all of that entry to the new selection.

Correct the entry that has the wrong assignment

  1. Open the employee's time history or the manager's Timesheets view and find the affected entry.
  2. Check its dates, client, contract and description before making a change.
  3. Use direct editing when company permissions allow it. Otherwise submit a correction request or ask the manager to review.
  4. Review the resulting approval status, affected report and any earlier exports.

Submitting a correction request does not itself change the entry. Approved time and locked periods can have additional restrictions. Follow the correction, approval and reopening guide.

Read hours and billing estimates in context

The Clients page's Recorded hours shows working hours from valid completed, non-deleted entries for that client. It is an all-history total, includes both approved and pending completed time, and excludes open shifts. Break rules affect working hours.

For a specific period or approval status, open Reports, choose Client hours, set dates and filters, then select Run report. Open a client row to inspect the underlying time. Use the Contract filter when comparing a particular rate arrangement.

Assume 6 working hours, 0.5 additional payable paid-rest hours, no overtime or credits, an hourly employee rate of 20 and a contract rate of 80.
MeasureExample
Working hours6.00 hours
Payable hours6.50 hours
Billing estimate6 × 80 = 480
Hourly pay estimate6.5 × 20 = 130

Billing estimates use working hours multiplied by the entry's contract's current hourly rate. They are not invoices, payments or a record of an agreed historical price. Paid leave credits do not add working hours and are excluded when a client or contract filter is selected.

Changing a contract rate can change reports for earlier dates.

Rates are not stored as effective-dated history on time entries. Before changing a reused contract, consider creating a separately named contract for the new arrangement and updating defaults for future selections. Keep the older contract at its existing rate when you need older assignments to retain that rate in current reports.

Review saved exports after changing rates; a status of no tracked time changes is not a guarantee that current-rate estimates are unchanged. For CSV, PDF and comparison steps, use the reporting and export guide.

Edit or remove an active record

On Clients or Contracts, open the row's Actions menu and select Edit. Change the fields and select Edit in the dialog to save. If the record changed while the dialog was open, close and reopen it before trying again.

What Delete does

  • Delete removes the client or contract from active selection lists while retaining historical time entries.
  • Deletion is blocked if an open shift uses the client or contract. Finish or correct that shift first.
  • Deleting a contract clears that contract from client defaults. Choose replacement defaults where needed.
  • Historical reports can still show the removed record with an archived label.

Review upcoming schedules and other uses before removing a record, and ensure employees still have choices when client or contract selection is required. Delete is not a way to erase time or remove its reported hours.

Resolve common setup questions

Why can't an employee see the client or contract field?

Check the corresponding Show and Require controls in Company Settings. Save any changes and have the employee reload the page. Confirm there are active company records to select.

Why did the contract change when I selected another client?

The web entry form uses the selected client's default contract. Check the final selection before saving, especially when a client has no default or the work uses a different rate arrangement.

Does the default contract restrict which contract can be used?

No. The default assists selection. It is not an exclusive client-to-contract rule. Verify the combination saved on the time entry during review.

Why do Client hours and Recorded hours disagree?

The Clients directory shows all-history completed working hours. Reports use your selected dates, approval, search and other filters, and may show payable hours. Compare the same range and hour category before treating a difference as an error.

Why is the billing estimate zero?

Check whether the entry has a contract, whether its current hourly rate is greater than zero, and whether the entry has working hours in the selected range. A client's default alone does not supply a missing contract on already recorded time.

Can I use a deleted contract on new time?

New selections need active company records. Historical entries can retain their original archived assignment. Create an appropriate active contract for new work rather than expecting deletion to move old time to a replacement.

Does creating a client connect it to my accounting provider?

No. Provider connections and mappings have their own setup and supported operations. Follow the applicable integration guide; adding a local client does not confirm provider synchronization.

What details help support investigate?

Include the client and contract names, affected entry ID and dates, relevant Show/Require settings, and expected versus saved selections. For a total difference, include report filters and whether you compared working hours, payable hours or a billing estimate.
