WORK SITES & LOCATION GUIDE
The right location.
A clear record of the work.
Set up offices, other work sites and remote access, then give employees and managers a clear way to handle location checks and exceptions.
Choose the rules for your company
Managers: open Company Settings → Work sites and location rules.
- Turn on Enable work sites.
- Choose whether to Allow remote work and allow employees to transfer sites during a shift.
- Create the sites, set employee access and choose how GPS exceptions are handled.
- Select Save work sites.
Turning work sites off stops new site selection and GPS restrictions. It preserves recorded site history and outstanding reviews; disabling the feature does not resolve earlier exceptions.
Create a site and check its boundary
- Select Add site and enter the Site name.
- Optionally select a Linked client. It suggests the shift client at clock-in.
- Enter latitude and longitude, use Select on map, or choose Use my current location when you are at the intended site.
- Set Radius (meters) and confirm that the circular boundary covers the intended work area.
- Leave Active site checked and select Save work sites.
On the map, click or drag the marker to set the center, then select Use this location. You still need to save the work-site settings. If GPS is unavailable while setting up a site, enter coordinates manually.
A current-location reading can have uncertainty. Confirm that it represents the actual site before saving; a misplaced center can cause valid employees to receive location exceptions.
Retire a saved site by clearing Active site and saving. This stops new selections while keeping historical records. Remove draft site applies to an unsaved site.
Set company defaults and employee overrides
Under Employee access, choose whether employees without an override can use all active sites and whether they can use remote work when it is enabled. New employees follow these defaults.
- To customize one employee, choose Employee override and select Add override.
- Allow All active sites or select specific assigned sites.
- Choose whether the employee can use Remote work when enabled.
- Select Save work sites. Use Use company defaults to remove an override when appropriate.
Remote access needs both the company-wide remote option and permission through the employee's default or override. If default access is off, assign locations before employees need to clock in.
Decide how location exceptions are handled
Configure separate rules for Clearly outside the boundary, GPS unavailable or permission denied, and GPS inaccurate, old, or near an uncertain boundary. Also set maximum GPS uncertainty in meters and maximum GPS age in seconds.
| Handling | Employee result | Manager follow-up |
|---|---|---|
| Warn and allow with a reason | The warning is shown; a location note is optional. | The result remains in location history. |
| Allow with manager review | An explanation is required before proceeding. | The exception remains unresolved until reviewed. |
| Block clock-in or transfer | The clock-in or transfer cannot proceed for that result. | Review the location, access and company policy with the employee. |
An inside-boundary result allows the action without an exception review. An uncertain reading is not treated as proof that someone is outside a site. Check GPS age and reported uncertainty before drawing conclusions from a boundary result.
Employee: choose where you are working
- Open Time clock and start clock-in.
- Choose the actual Work site or remote work from your available locations.
- For a physical site, select Check my location and allow location access when requested.
- Read the result. Retry a failed reading or follow the company's exception rule. Enter an explanation when required.
- Select Clock in and check the confirmation and current location.
If no locations are available, ask your manager to check employee access. Select Remote work only when that is your actual assignment and it is available to you.
Transfer during an open shift
When permitted, end any active break, select Transfer site, choose the new location and complete its location check. The shift continues, and the transfer adds a new portion to its location history. The shift's client and contract remain unchanged.
Manager: resolve required location reviews
- Open Work locations and choose Needs review.
- Open the entry and compare its site, start time, location-check result, distance and GPS uncertainty when available, plus the employee's explanation.
- Select Accept exception when the explanation and evidence support it, or Reject with a required reason.
- If the recorded site or transfer is wrong, correct the location history and review the resulting entry.
A rejected exception remains unresolved until it is corrected or accepted by a manager. Rejecting does not delete the employee's worked time.
Another manager must review exceptions on your own time. Location review actions return the time entry to pending approval. Accepting an exception does not approve the time or mark it paid.
Correct a site or missed transfer
- In Work locations, open the entry. Use All time entries if it is not in the review queue.
- Select Edit site for an existing portion, or Assign site / add transfer to add missing location information.
- Select the correct site. The initial site begins at the shift start; a transfer needs a valid past time inside the shift.
- Add a note explaining the change and save.
- Review the time entry, affected submissions and exports after the change.
Remove transfer removes a later transfer. The initial site cannot be removed that way; assign the correct initial site instead. Manager-recorded corrections do not claim a verified GPS reading.
A manager's correction to their own location remains pending for another manager. Locked time requires authorized reopening first; see the period and cutoff reopening guide.
Use the full history before approving time
The Work locations list shows the last site, while the entry detail shows all recorded locations and transfer times. Use Site reports for reporting by location rather than assuming the last site represents the entire shift.
Manual time may appear as Unassigned or Unverified and need a site assignment or reviewed exception. Required work-location reviews must be resolved before entry approval and the relevant timesheet submission or closing checks can pass.
Correcting a site or reviewing an exception leaves time pending approval. Check timesheet review and any affected exports instead of assuming the location decision completes payroll review.
Common location questions
I am at the site but GPS says uncertain or outside.
Use Check my location again and inspect the reported uncertainty. Ask your manager to verify the site's center, radius and exception settings. An old or uncertain reading is handled separately from a clearly outside result.
Location permission was denied or GPS timed out.
Check your browser or device location permission and retry. If a reading remains unavailable, follow the displayed company exception rule. A blocking rule requires manager help; it cannot be bypassed by entering a note.
Why is remote work missing?
Check both Allow remote work and the employee's access defaults or override. A company-wide option does not automatically grant access to every employee.
Can I clock out without GPS?
Yes. GPS is not required to clock out. If another message blocks the action, follow that message or contact your manager rather than repeatedly checking location.
Why can I not transfer sites?
Confirm that transfers are enabled, the shift is still open and no break is active. Check access to the destination and any time locks. Refresh if the entry or policy changed.
We disabled work sites. Why are reviews still listed?
Disabling stops new location restrictions while retaining recorded history and required reviews. Resolve the outstanding entries through Work locations.
What should I include when asking for help?
Provide the employee, entry ID, selected site, company-clock time, displayed GPS result and uncertainty, exact message and action attempted. Include whether remote access or transfers are enabled.
