TIMESHEET REVIEW GUIDE
Correct the record.
Close the period with confidence.
Understand what each review step changes, what still needs attention, and how to protect completed time without losing its history.
Four decisions, four different results
| Action | What it does |
|---|---|
| Apply correction | Changes the recorded entry to the reviewed proposal. The manager chooses whether to approve the corrected time at the same time. |
| Approve entry | Marks an individual completed time entry approved. It does not approve the employee's period submission. |
| Approve submission | Records a manager's review of an employee's submitted period. Entry approvals remain separate. |
| Lock period | Protects overlapping time from edits, deletion and approval changes after the closing checklist is clear. |
None of these actions sends money. Payroll preparation, provider delivery and any manual payment record are separate steps.
Choose how your company reviews time
Managers: open Company Settings → Correction policy and Timesheet periods.
Employee changes
- Edit directly allows permitted direct edits, with optional correction requests. Direct deletion has its own switch.
- Request a manager correction requires correction requests to be enabled and prevents direct edits and deletions.
- No employee changes blocks employee edits, deletions and new requests.
Manual entry creation is a separate permission. Existing correction history is retained when requests are disabled; managers can still review pending requests and employees can withdraw active requests. Changes remain subject to locks.
Period review
- Enable timesheet submissions and period locking.
- Choose whether to Require approved submissions before locking.
- Select the managers allowed to reopen locked periods. With no selection, nobody can reopen until permission is granted.
- Optionally enable manual payment-status recording, then select Save timesheet settings.
Periods use the schedule under Company and time and the company clock. Saved periods retain their original dates when the schedule changes. Disabling submissions stops new submissions and closing; existing locks and history remain, and authorized reopening stays available.
Employee: request a change to an entry
- Open your time history and choose Request correction beside the affected entry, when company policy allows it.
- Enter the correct clock-in and clock-out using company time. Review available client, contract and description fields.
- Add an optional note explaining what happened, then select Submit request.
- Follow the request in Correction requests.
Only one active request is allowed per entry. If a manager returns it for more information, open the same request, read the note, revise the proposal and resubmit. You can withdraw an active request. An applied request retains its outcome even if the entry changes later.
Break changes have a separate break correction workflow. Check recorded breaks when changing a shift's boundaries.
Manager: compare before applying
- Open Correction requests, select Company requests and use Needs action or Pending review.
- Compare Original request, Currently recorded and Proposed correction, along with the employee's note.
- If the entry changed since the request, reload and compare the latest values. Acknowledge the changed current entry when prompted before applying the proposal.
- Choose Apply correction, Return for more information or Decline request. Returning or declining requires a review note.
- When applying, choose whether to tick Approve the corrected time at the same time.
Leave the approval checkbox unchecked and the corrected entry returns to pending time approval. The request's Applied status confirms the correction, not the entry's approval.
Managers cannot review their own correction requests. Another company manager must decide. A locked entry may still receive a request, but the applicable locks must be reopened before the correction can be applied.
Employee: submit the completed period
- Open My timesheets. Choose a Date within the pay period or a saved period, then select Show period.
- Wait until the period ends. Select View time and confirm the entries are complete.
- Resolve open shifts, active time and break corrections, required work details, invalid entries and work-location reviews that block submission.
- Select Submit and confirm. Use Resubmit for returned or changed time after resolving the issue.
Individual entry approvals do not prevent an employee from submitting. The employee's submission confirms the period is ready for review; it does not approve the recorded entries.
If time changes after submission, the period can show changed and require another submission and review. Always refresh when the page reports that the time or submission has changed.
Manager: review the submission and its entries
- Open Timesheet periods and select the period.
- Use View time for each employee and inspect their hours, details, breaks and review note.
- Select Approve submission when the submitted period is ready, or Return with a reason describing the needed correction.
- Use Resolve entries to open Timesheet review for individual entry approval and outstanding issues.
A manager can use Submit on behalf when appropriate; the manager and time are recorded automatically. This still does not approve the entries. Managers cannot approve their own period submissions, so arrange review by another manager.
Hours in the submissions table are clipped to the period. View time retains each entry's full start and end, so an overnight shift can appear longer than its contribution to that period.
Clear the closing checklist and lock the period
Open the period's Closing checklist and resolve every outstanding item before selecting Lock period.
- The period has ended and all shifts are closed.
- Time and break corrections, invalid entries and missing required details are resolved.
- Break, work-location and leave reviews are clear.
- Completed entries are approved.
- Required submissions are approved.
When approved submissions are required, each employee with time or an existing submission needs an approved submission. An employee with neither time nor a submission does not block closing. Making submission review optional does not remove the other closing checks.
Reopen the affected lock, then review again
- An authorized manager opens the saved period and selects Reopen period.
- Enter the required reason and confirm.
- Check whether the separate date cutoff under Correction policy also protects the entry.
- Make or apply the correction, review the affected time, and have changed submissions resubmitted and reviewed as needed.
- Resolve the closing checklist and lock the period again. Restore any cutoff changed for this work.
The date cutoff is a separate lock
Lock entries starting on or before protects entries by their start date, including overnight entries. Moving the cutoff earlier or clearing it requires a reason. Use the smallest necessary change because reopening the cutoff affects company entries after the new cutoff.
Clearing the cutoff does not remove saved period locks, and reopening a period does not clear the cutoff. An overnight entry or an overtime recalculation can affect more than one protected period; review each affected lock.
Review exports and manual payment records after changes
In CSV export history, a tracked export can show Time changed - review replacement. Select Open report, review the current data and generate the same report again to replace the flagged export. Changes anywhere in its company date range can flag it even when the export used narrower filters.
Export history records generation, not successful delivery or payment. Saved payroll runs and provider deliveries have their own review workflows; follow the payroll guide and integration guides for those records.
If enabled, Record payment is a company-wide note that payment was handled elsewhere. Later changes can require Confirm payment after changes. Clear payment record requires a reason and retains the earlier record in activity history. These actions do not transfer or reverse money.
Common review questions
Why is my applied correction still pending?
The manager applied the correction without selecting simultaneous time approval. The changed values are recorded, but the entry still needs approval. Submission approval is another separate step.
Why can I submit while some closing checklist items remain?
Submission and locking have different requirements. Employees can submit before individual entry approval. Locking additionally requires entry approvals and the remaining manager review checks to be clear.
I reopened the period but still cannot edit.
Check the date cutoff, other periods touched by an overnight entry and any locked time affected by overtime recalculation. Also confirm that your company policy permits the requested edit.
Why does a schedule change overlap a saved period?
Saved periods retain their dates. Choose the existing saved period or have a manager review the pay-period schedule under Company and time. Do not force a new overlapping period.
What should I include when asking for help?
Provide the employee, entry or request ID, period dates, displayed status, exact message and action attempted. Note whether a period lock or date cutoff applies. Do not include passwords or access tokens.
