ACCOUNT, PERMISSIONS & TROUBLESHOOTING GUIDE
The right account.
The right access.
Keep your profile current, recover your password and understand which settings control the actions available to you.
Use your existing company account
Employees receive accounts from their manager. Use the account's email at Sign in. Registration creates a new company workspace; it is not how you join an employer.
If you see the wrong company, stop before recording time and ask your manager to confirm the account. Creating another company or changing your profile name does not move your time history into the intended workspace.
Update your own details
- Open Profile → Account details.
- Review your email, first name, last name and phone number. Your email is also your login and must not already belong to another active account.
- Optionally choose a profile image: JPG, PNG or GIF, smaller than 5 MB and no larger than 4096 by 4096 pixels.
- Save the account details and check the confirmation. Use the new email for future sign-ins if you changed it.
Your role, pay type and pay rate are managed through employee administration, not personal profile preferences.
Save notification sections separately
Email notifications and Text notifications have their own save buttons. Save a phone number before enabling text delivery. Managers also have Delivery settings for reminder grouping. Choosing a profile preference does not enable a company feature or override its delivery rules.
For reminder opt-ins, separate correction updates and company delivery schedules, use the notification delivery guide. Schedule and leave messages have their own switches.
Change or recover your password
When you can sign in
Open Profile → Password. Enter your current password, new password and matching confirmation, then save. Passwords need at least 8 characters and may contain no more than 72 UTF-8 bytes; some characters use multiple bytes. Other sessions may need to sign in again after the change.
When you cannot sign in
- Open password recovery, enter your account email and complete the verification.
- Check the inbox and spam folder for the reset email. The generic confirmation does not verify whether an account exists for that address.
- Open the newest reset link and enter matching new passwords.
- Sign in with the updated password.
Reset links expire after 30 minutes and are single-use. Requesting a newer link invalidates earlier unused links. A reset email request leaves the existing password valid until the link is used. Wait at least a minute before requesting another link.
If you see Too many attempts, follow the displayed 15-minute wait before trying again. Repeated attempts do not help resolve the lockout.
Check four separate controls
| Control | What it decides | Who checks it |
|---|---|---|
| Account and company access | Whether the account is active and the workspace has an available free plan, active subscription or valid trial. | Manager; support for unresolved account issues. |
| Employee or manager role | Whether you use your own employee tools or administer company records and settings. | Another authorized manager when your own role must change. |
| Feature policy | Whether tools such as leave, schedules or payroll are enabled, and which employee actions are permitted. | Company manager in the relevant settings section. |
| Record state and review rules | Whether this particular action is allowed: locks, pending requests, publication state, required checks or self-review restrictions can apply. | The authorized reviewer for that workflow. |
Company managers can manage company employees, clients, contracts, settings and reports. A company manager is not a platform support administrator and does not gain access to other companies.
Several workflows require another manager to review your own work: correction requests, period submissions, leave decisions or balance adjustments, break reviews and location exceptions. Use each feature's guide for its exact rules; do not assume all approval buttons behave identically.
Reopening a saved period requires explicit permission in the timesheet policy. With no reopening managers selected, nobody can reopen it until permission is granted. This differs from reminder recipient lists, where a blank selection means all managers. See period reopening.
Managers: maintain employee access
For first-time creation, follow Create employee accounts. In Employees, use the account's Actions menu to edit its details, role and payment settings.
- Assign the employee or company-manager role that matches the person's responsibilities.
- Another manager must change your own role. The company must retain at least one manager.
- Check the email carefully; it identifies the login and must be unique among active accounts.
- Pay type and rate affect estimates. They do not determine overtime eligibility, which has its own policy.
- If the record changed after you opened it, close and reopen the form to review the current values before saving.
Send a password-reset link
Use the employee's reset action and confirm Send reset link. The reset email is queued; the existing password continues working until the link is used. For your own password, use Profile. If a link expires, send a new one after the request cooldown.
When you cannot add another employee
Read the displayed plan or access message. All active accounts, including managers, count toward the plan's user limit. Check the company's current plan rather than relying on a fixed number in a guide. Integrations are available on all plans but still have provider-specific setup requirements.
Remove an employee without erasing history
- Review the employee's current work and finish or correct any open shift.
- In Employees, choose the account's Delete action and review the confirmation.
- Confirm only the intended employee's removal.
- Review future schedule assignments and provider mappings separately where applicable.
You cannot remove your own account or leave the company without a manager. An open shift blocks removal. Historical time entries are retained and can appear in reports as a former employee's time.
Removal revokes mobile tokens and makes the account unavailable for normal use. It does not pay outstanding time, delete historical reports or confirm that a provider's employee record was deactivated.
Start with the message, then the setting
| Problem | First checks |
|---|---|
| Incorrect email or password | Confirm the account email with the manager, then use password recovery if needed. Use the newest reset link. |
| Sign-in works, workspace is restricted | Ask the manager to review the displayed trial, subscription or account-access message. Free-plan access does not require a paid subscription. |
| Feature or button missing | Check role, saved feature setting and the record's current state. Manual entry, direct editing and correction requests are separate controls. |
| Cannot review your own request | Arrange review by another authorized manager under that workflow's rules. |
| Cannot save because the record changed | Keep a copy of unsaved notes, reload or reopen the record, compare current values, then retry the intended change. |
| Unclear result after a connection failure | Refresh and check whether the action already succeeded before repeating it. For provider deliveries, follow the provider reconciliation guide. |
| Notification did not arrive | Check the status inside TakeUrTime, then consult the notification troubleshooting guide. |
Use a support conversation for technical help
Ask your manager about company policy, missing tools, leave balances and required review. For an unresolved technical issue, open Support, select New request, enter a clear title and details, then select Send request. If you cannot sign in, use Contact.
- Include the page, action attempted, exact message, expected result and when it happened.
- Include relevant entry, request, period or delivery IDs and filter choices.
- Describe whether refreshing changes the result and which checks you already tried.
- Do not send passwords, reset links, payment-card details or integration credentials.
Open the existing request to read replies and continue the conversation. Use Search & filters if it is missing. Closing a request marks it resolved; reopening or replying to a closed request continues it. Deleting removes it from your support history, so use Close when you want to keep the conversation.
Company managers do not automatically see every employee's support tickets. The normal Support view shows your own requests; platform support staff handle the support side. Enable Replies to my support requests in Profile for the available notification channel if wanted.
