Sample names and assignments. Employees see their own published details; optional coworker visibility shares only names, times and locations.

Build from the work you already know.

Create drafts for one employee or several. Repeat shifts across weeks or copy selected shifts forward. Include the times, location, client or contract context, planned unpaid breaks and employee instructions that are useful to your team.

Check the plan before sharing it.

Review overlapping assignments, leave, rest gaps, planned daily or weekly hours and recorded work. Company policy determines which conflicts warn and which block publication. Warnings require an explained acknowledgement.

Publish a clear assignment.

Publish selected drafts together. When updating an existing published shift, the previous assignment stays in effect until the new draft passes review and is published.

Keep the conversation attached.

Employees can acknowledge the published revision when required and request a change. Managers reply and resolve the request. A request does not automatically change the schedule.

ZOOM OUT. THEN LOOK CLOSER.

One calendar.
The level of detail you need.

Bring scheduled work, approved time off and recorded work together, with source and status labels that keep them distinct. Calendar access also works independently of enabling scheduling.

Month
See the wider pattern with compact event previews and daily counts.
Week
Review the upcoming days together and open a date for more detail.
Agenda
Follow a compact day-by-day summary when a list is easier to scan.
Day
Search the day's returned events, page through its list and open the details you are permitted to view.

Filter by the available sources, employees, sites, clients and statuses. Save personal preferences for later visits and print the current view.

THE PLAN AND THE RECORD

Scheduled time
is still a plan.

Publishing a shift does not clock anyone in or create payroll hours. Employees still record their actual work and breaks through the time-tracking workflow.

Planned breaks do not record actual breaks.

Planned unpaid break minutes help calculate scheduled hours. Break tracking records what actually happened during the shift.

Leave approval does not rewrite the schedule.

Leave review can flag overlapping published shifts. Managers decide what schedule changes are needed after approving leave.

A late-start alert is a prompt to review.

Optional reminders can flag an in-progress shift with no matching recorded work after the configured grace period. That flag is not proof that someone is absent.

MANAGEMENT CHOOSES THE WORKFLOW

Set the rules.
Keep the team informed.

Authorized managers enable or disable scheduling and configure conflict handling, visibility, acknowledgements and notifications in Company settings.

Questions about your setup? →
What can coworkers see?

Employee calendars default to personal scope. Optional team scheduling visibility reveals coworker names, times and locations, without instructions, client or contract details, private manager notes or shift detail access. Leave visibility is separately configurable and reveals unavailable times without private leave details.

Can we schedule overnight work?

Yes, within the configured maximum shift duration, up to 24 hours. Overnight events appear on the dates they overlap. Schedule times follow the application's server-local time convention.

Do planned-hour limits calculate overtime pay?

No. Planning limits check assignments across sites and clients using the applicable workweek. They are separate from the overtime calculations applied to actual time and paid credits.

How do schedule reminders work?

Managers can configure upcoming reminders and notification channels. Delivery follows company settings, recipient opt-ins and quiet hours. Draft edits do not send publication updates; obsolete reminders are skipped when their assignment is no longer current.

Does cancelling a shift resolve its change request?

No. The employee discussion remains a separate item. Managers can explain the cancellation and resolve the request explicitly.

What happens when scheduling is disabled?

New drafts, copying, publication, employee change requests and upcoming reminders stop. Published schedules and history remain, with cancellation, draft discard, existing request resolution and required acknowledgement still available. Calendar access for work and leave remains available.

Can managers export the plan?

Planning CSV downloads reflect the displayed schedule rows, including draft status, and exclude private notes. They do not create payroll exports or record payment.
