Australian draft timesheets for hourly employees

This TakeUrTime connector supports Xero Payroll Australia for an Australian organisation using AUD. It creates new draft timesheets from approved worked hours. Xero supplies pay rates, and payroll review and processing remain in Xero.

UK, New Zealand and US organisations cannot use this payroll route. It does not write accounting transactions. Integrations are available on every TakeUrTime plan; your internal TakeUrTime Payroll workspace can remain off.

What is included in each draft.
IncludedHandled separately
Daily regular, overtime and second overtime worked hours with matched Xero earnings rates.PTO, holiday credits, money adjustments and rate changes are excluded.
Paid breaks included once; unpaid breaks excluded from worked time.Schedules and individual clock punches are not delivered by this workflow.
A new draft timesheet for the selected employee and calendar period.Existing timesheet corrections, payroll creation, approval and payment remain in Xero.

Authorize and select your Australian organisation

Open Company Settings → Integrations → Xero.

  1. If application setup is required, ask your application administrator to configure the Xero authorization settings.
  2. Select Authorize with Xero and complete the authorization.
  3. In Authorized organisation, select the Australian organisation that belongs to this TakeUrTime company. Verify its identity and AUD currency.
  4. Confirm and select Connect selected organisation.
  5. Enable and save Employee matching and names and Draft timesheets in the company feature controls.
  6. Confirm the Recorded time zone used for existing TakeUrTime clocks and select Save time settings.

Authorized management controls which company features are enabled. The application operator must also enable timesheet writes. Confirming the recorded time zone does not reinterpret existing clocks.

Use Open sample Xero demo in the workspace to explore the sample workflow separately from your live organisation.

Match an existing hourly employee

  1. Select Load Xero employees and payroll calendars.
  2. Choose the TakeUrTime employee and their active Xero employee record.
  3. Compare the full name and email. Check that the employee already has a payroll calendar and an hourly ordinary earnings setup in Xero.
  4. Confirm the identity and select Verify and save employee match.

This workflow supports hourly employees using an earnings rate or an entered hourly rate. Salaried employees, fixed-amount earnings and employees with a termination date are outside its supported matching rules.

Each selected employee must belong to the review's calendar and have a hire date on or before the period's first date. Verify employee and earnings mappings again after reconnecting. Removing a match does not delete an existing Xero timesheet.

Map the ordinary rate and overtime categories

  1. Choose the matched TakeUrTime employee and select Load Xero earnings rates.
  2. Choose the Worked-hours category and its corresponding Xero earnings rate.
  3. Verify the employee's ordinary hourly rate or the overtime multiplier and confirm that the rate is current.
  4. Confirm and select Save earnings-rate mapping. Repeat for each category used by the employee.
Use distinct earnings rates for regular and overtime categories.
CategoryRequired mapping
Regular hoursThe employee's assigned ordinary hourly earnings rate, with a positive hourly value. This mapping is required.
Overtime / second overtimeA current overtime earnings rate using a multiplier. Its multiplier must match the corresponding TakeUrTime source earnings.

The rate list does not make every rate suitable for every employee. Fixed amounts and salary calculations are unsupported; local TakeUrTime pay rates are not sent to Xero.

Prepare the timesheet before creating the pay run

Select Load current payroll calendars, then choose the intended Xero payroll calendar and period. Check the period dates, check date and employee calendar assignment.

  • Weekly, fortnightly, four-weekly and calendar-month periods are supported.
  • The period must contain up to 32 completed days.
  • The corresponding pay run must not yet exist.
  • Select up to 10 matched employees from one calendar per review.
  • Existing or later timesheets for an employee can prevent creation.
Upcoming payroll can cover completed work.

The upcoming calendar period is the one available for the next pay run. Its work dates must already be complete before you send the reviewed hours. Do not choose another calendar to work around an unavailable period.

Inspect daily hours before queuing drafts

  1. Resolve open shifts, missing approvals, overlapping records and outstanding corrections in TakeUrTime. Include complete shifts within the period.
  2. Select the calendar and employees, then choose Prepare reviewed hours.
  3. Resolve every listed issue. Expand inspect current and proposed hours for each employee.
  4. Compare the proposed draft's daily hours and earnings rates with the supporting time records. Inspect any Current known Xero timesheet shown.
  5. Coordinate with other payroll administrators so timesheets and the pay run remain unchanged during delivery.
  6. Confirm the reviewed daily hours and upcoming period, then select Queue draft timesheets.

Hours are rounded to three decimals per work date and earning category. Overnight worked time is split across calendar dates. PTO and holiday credits appear as excluded credits rather than worked hours.

Reviews expire after 30 minutes. Changes to source records, approvals, mappings or the calendar can require a fresh review. Queuing creates delivery records; check their results before relying on the drafts.

Verify each known timesheet

An Accepted delivery means the timesheet identity and hours were read back and verified. It does not create, approve or pay a payroll run.

  1. Inspect each employee's result in Delivery history and retain the returned timesheet ID.
  2. Open Saved reviews → Inspect review and select Compare known Xero timesheets.
  3. Review Current hours match or Current timesheet differs. Compare the employee, calendar, dates, daily hours, earnings rates and current timesheet status.
  4. Open Xero and review the draft and payroll details before approval and processing.

Correct delivered hours in Xero

An unchanged delivered review shows Already delivered. Changed hours show Correction held; the proposed correction is preserved for comparison, but the connector does not overwrite the original timesheet.

If the timesheet is already approved or completed, coordinate the correction with your payroll administrator in Xero. Empty reviews do not delete earlier timesheets, and an existing external timesheet is not adopted as a TakeUrTime delivery receipt.

Resolve holds against the original record

A request timed out or its result is uncertain.

Keep it held. Use Reconcile with provider in Delivery history to look up the original returned timesheet ID. If no ID was captured, a matching employee, date range or hour total cannot establish ownership of another timesheet.

A missing result does not prove that creation failed. Do not resend, disconnect or remap the employee to bypass the hold. An unresolved earlier delivery blocks that employee from being sent for another period.

An existing or later timesheet prevents creation.

Inspect the employee's Xero timesheet history, including later periods. The connector creates new drafts only; it does not merge with, replace or adopt an existing sheet. Resolve the intended work in Xero with your payroll administrator.

The organisation or employee cannot be selected.

Verify that the organisation is Australian and uses AUD. Check active hourly employee status, full name, email, calendar and ordinary earnings setup. Salaried employees and other regional payroll routes are unsupported by this connector.

Prepare or Queue is unavailable.

Check the connection, saved company feature controls, recorded time-zone confirmation, calendar eligibility and matched employees. The application operator must enable writes. Queue also requires a current review with no issues, a ready draft and your confirmation.

A shift or daily total is blocked.

Check complete, approved, non-overlapping shifts and their calendar dates. Shifts crossing a time-zone offset change are blocked. Review daily categories that exceed a day's hours or positive time that rounds to zero. Do not change the recorded time zone to force a delivery.

Only part of the batch succeeded or the review expired.

Inspect each delivery first and preserve accepted timesheets. Resolve only the affected records. Prepare a fresh review when instructed; do not resend the whole batch or duplicate a delivered draft.

What information should I send to support?

Include the organisation, employee, payroll calendar, dates, review or delivery ID, returned timesheet ID if available, exact error and the difference found in Xero. Exclude passwords, tokens and application credentials.
