Know what this workflow sends

TakeUrTime sends approved worked hours to the Paycor paygrid. Your internal TakeUrTime Payroll workspace can remain off. Paycor supplies rates and amounts; you review and process payroll there.

Worked hours and payroll processing have separate responsibilities.
Included in this importHandled separately
Regular, overtime and second overtime hours, using the employee's mapped earning codes.PTO, holidays, manual adjustments and local pay rates are excluded.
Paid breaks remain in worked hours. Unpaid breaks are excluded.Individual clock punches and schedules are not delivered by this workflow.
Work dates, the employee's current Paycor pay group and the matched payroll department.Payroll approval, taxes, deductions and employee payments remain in Paycor.

Hours are rounded to three decimals for each work date and earning category. Check these rounded lines when comparing the saved review with Paycor.

Connect the correct legal entity

Open Company Settings → Integrations → Paycor.

  1. Have a Paycor Company, HR or Payroll administrator activate the configured TakeUrTime application through Paycor's Simple Client Activation. If application setup is unavailable, contact your administrator before continuing.
  2. In Connect your Paycor legal entity, enter the Legal entity (Client) ID and freshly issued access and refresh tokens on the secure HTTPS page.
  3. Confirm that you verified the legal entity and authorized the application, then select Verify and save connection.
  4. Enable and save Employee matching and names and Reviewed payroll hours in the company feature controls.
  5. Confirm the Recorded time zone used for existing TakeUrTime clocks, then select Save time settings.

Tokens are encrypted and are not displayed after saving. Disconnecting here does not revoke the activation in Paycor. Do not share tokens in a support message. The recorded time zone confirms existing timestamps; it does not reinterpret earlier clocks.

Match the employee and payroll department

  1. Select Load Paycor employees and departments.
  2. Choose the TakeUrTime employee and their active Paycor employee record. Verify the full name and work email; correct missing or mismatched profile details first.
  3. Choose the existing Paycor payroll department for these hours. It must belong to the employee's current pay-group payroll and have a numeric department code.
  4. Confirm that the selected department should receive all imported hours, then select Verify and save employee match.
  5. Repeat for each employee you intend to include.
One match routes all imported hours to that department.

Do not assume a TakeUrTime worksite or client automatically splits hours among Paycor departments. Check the employee's pay group and department again if their payroll assignment changes.

After reconnecting, verify employee and earning mappings again. Removing an employee match also removes its earning mappings; it does not remove hours already submitted to Paycor.

Map each employee's earning codes

  1. Choose the matched TakeUrTime employee, then select Load employee earnings.
  2. Select a Worked-hours category: Regular hours, Overtime hours or Second overtime hours.
  3. Choose the existing Paycor earning for that category. Verify in Paycor that it accepts hours and has the correct rate and overtime treatment.
  4. Confirm and select Save earning mapping. Repeat for every category used by that employee.

Use distinct earning codes for regular and overtime categories. The earning must not be on hold, and its effective dates must cover the reviewed period. Matching one employee's earnings does not configure every employee.

Review the complete period before sending

  1. Resolve open shifts, missing approvals, overlapping records and outstanding corrections. Include complete, approved shifts.
  2. Select the exact Paycor timecard period using First date and Last date (included). A review supports up to 32 completed days and 10 matched employees.
  3. Select Prepare reviewed hours. Resolve all listed issues before proceeding.
  4. Review each employee's hours and action. Expand inspect complete import and previous hours to compare the earlier and proposed complete submissions, work dates, earning codes and department.
  5. Check that the correct Paycor paygrid is open and unprocessed, the hours are not entered elsewhere and any earlier import has not been edited.
  6. Coordinate with other payroll administrators so the paygrid stays unchanged until delivery finishes. Confirm the review and select Queue reviewed payroll hours.

Reviews expire after 30 minutes. Changes to source time, approvals, settings or mappings may require a fresh review. Queuing is not confirmation that hours have arrived; follow Delivery history and inspect each employee's result.

Why are paid credits shown as excluded?

This import sends worked hours only. PTO and holiday credits are not added to the payload. Review those amounts separately through your payroll process so you do not mistake the worked-hours total for all payable time.

Compare the full Paycor paygrid

A Submitted result means Paycor returned a successful submission response for the Process ID. It does not verify imported totals, approve payroll or pay employees.

  • Confirm the legal entity, employee, pay group and timecard period.
  • Compare every work date, earning code, department and rounded hour total with the saved review.
  • Check for duplicate hours entered manually or sent through another source.
  • Review rates, amounts and separately handled leave or adjustments in Paycor before processing payroll.
Keep the review as your comparison point.

Use Saved reviews → Inspect review to reopen the submitted details. Retain the Process ID shown with the employee's import and in Delivery history when investigating a discrepancy.

Only some employees were submitted. Should I send the batch again?

No. Inspect each employee's delivery. Preserve submitted records and resolve the affected records individually. If a review expires before the remaining records are sent, prepare a fresh review for the original period; employees already submitted will be identified.

A correction replaces the full earlier import

Use the original first and last dates. The replacement includes the employee's entire previously submitted period, not just the difference or the corrected day.

  1. Correct and approve the original TakeUrTime time records.
  2. Verify the earlier import in Paycor. Its paygrid must still be open and unprocessed, with no external edits to that import.
  3. Prepare a fresh review for the original dates and employee.
  4. Compare Earlier submission with Proposed complete submission. An unchanged payload shows Already submitted; an eligible changed payload shows Replace.
  5. Confirm the complete replacement, queue it and compare the full paygrid again after delivery.

Resolve an empty replacement in Paycor; sending no worked hours is not treated as a deletion. Changed accounts, reconnected or remapped employees, overlapping periods and unresolved earlier submissions can block a replacement. Inspect the original import before proceeding.

Resolve the cause before sending again

The result is uncertain or the request timed out.

Keep the delivery held. This integration has no import-status lookup for this operation, so there is no Paycor reconciliation button that can establish the outcome. Give Paycor support the Process ID and saved payload through an appropriate support channel. Do not resend, append, replace or disconnect to bypass the hold.

If the page response itself could not be confirmed, inspect Saved reviews and Delivery history before taking another action. A missing response does not prove that nothing was submitted.

Prepare or Queue is unavailable.

Check the connection, saved company features, confirmed recorded time zone, dates and selected matched employees. Payroll-hour writes must be enabled by the application operator. Queue also requires a current review with no issues, at least one ready submission and your confirmation.

An employee or earning mapping needs verification again.

Reload the provider records and verify identity, active status, pay group, department and earning effective dates. Reconnects require renewed mappings. If an earlier import exists, check it before remapping or attempting a replacement.

A shift crosses the selected dates or a daylight-saving change.

Choose dates that include the complete shift. The integration blocks shifts crossing a time-zone offset change; have a manager review the source records before continuing. Do not change the recorded time zone to force an import through.

My review expired or the source changed.

Prepare again after resolving the listed issue. For a correction, keep the original period. Inspect delivery results first if any records were already queued or submitted; do not duplicate the full batch.

What information helps support investigate?

Include the legal entity, affected employee and dates, review or delivery ID, Process ID, exact error and the difference you found in Paycor. Provide the saved payload through the appropriate private support channel when requested. Exclude tokens and passwords.
