Draft checks from approved worked hours

This integration creates draft checks in an unprocessed Paychex period. The internal TakeUrTime Payroll workspace can remain off. Rates, amounts, payroll processing and employee payments remain in Paychex.

Know what the draft contains before you queue it.

Approved regular, overtime and second overtime worked hours using mapped pay components.PTO, holidays, local payroll adjustments and pay-rate overrides are excluded.
Paid breaks included once in worked hours; unpaid breaks excluded.Schedules and PTO are not delivered by enabling their preference switches.
A draft check for the matched employee and selected Paychex period.Recurring earnings, deductions and the final check must be reviewed in Paychex.

Connect your Paychex company

Open Company Settings → Integrations → Paychex.

  1. Have your Paychex administrator create a dedicated application and authorize payroll API access. If the connection screen says application setup is required, contact your administrator.
  2. Enter the Paychex company ID from the API and the separate eight-digit Client number.
  3. Enter the Application key and Application secret over HTTPS. Confirm the company, client number and authorization, then select Verify and save connection.
  4. Enable and save Employee matching and names and Reviewed draft checks in the company feature controls.
  5. Confirm the Recorded time zone used by existing TakeUrTime clocks and select Save time settings.

Authorized management chooses which company features are enabled. The application operator must also enable payroll-hour writes. Confirming the recorded time zone does not reinterpret earlier clock records.

Saved credentials are encrypted and are not displayed again. Disconnecting TakeUrTime does not revoke the application in Paychex. Coordinate credential changes with your administrator and never include the key or secret in support messages.

Match an existing active employee

  1. Select Load Paychex employees.
  2. Choose the TakeUrTime employee and their Paychex employee record.
  3. Compare the full name and business email. Missing or ambiguous business emails must be corrected before matching.
  4. Confirm that both records represent the same employee, then select Verify and save employee match.

This workflow matches active Paychex employees. Repeat for each person you plan to include, and verify the matches again after reconnecting. Removing a match also removes its pay-component mappings; it does not remove a check already created in Paychex.

Map pay components for each employee

  1. Choose the matched TakeUrTime employee and select Load pay components.
  2. Select Regular hours, Overtime hours or Second overtime hours under Worked-hours category.
  3. Choose an existing Paychex company pay component that accepts hours for this employee.
  4. Verify the worker's default hourly rate and the component's regular or overtime treatment in Paychex.
  5. Confirm and select Save pay-component mapping. Repeat for every category the employee uses.
A company component still needs an employee check.

The list contains company pay components. Verify compatibility, default rate and treatment for the selected employee; the list alone does not establish those details.

Use distinct components for regular and overtime categories. Effective dates must cover the work period and check date. This integration requires a Paychex worker marked non-exempt for overtime categories.

Choose the period and inspect each draft

  1. Resolve open shifts, missing approvals, overlaps and outstanding time corrections in TakeUrTime.
  2. Select Load unprocessed periods. Choose the intended Paychex pay period, checking its dates and check date. A review supports up to 32 completed days and 10 matched employees.
  3. Select Prepare draft check review. Resolve every listed issue.
  4. Expand inspect draft check and supporting hours for each employee. Compare the proposed components, hours, supporting work dates and any earlier submission.
  5. Verify that the hours are not entered elsewhere and review recurring-pay treatment in Paychex. Coordinate with other payroll administrators so the period and employee pay setup stay unchanged during delivery.
  6. Confirm the review, then select Queue reviewed draft checks.

Hours are rounded to three decimals per work date and earning category. PTO and holiday credits appear as excluded credits rather than worked hours in the check.

The saved review expires after 30 minutes. Changed source records, approvals, mappings or settings can require a fresh review. Queuing starts delivery; it does not process payroll.

Why does an existing check block the review?

If the employee already has a check in that period and there is no matching TakeUrTime delivery record, the integration holds the submission instead of adding another check. Inspect the existing check in Paychex and resolve it with your payroll administrator.

Read back the hours, then review the entire check

An Accepted delivery means the created check was read back and its submitted hours matched. It is not payroll processing or payment.

  1. Follow each employee's result in Delivery history.
  2. Open the saved review and select Check current Paychex hours.
  3. Compare the returned check ID, period status and earning-hour lines. Read the result for each employee; some records can succeed while others remain held.
  4. Open the check in Paychex and inspect all earnings, recurring pay, deductions, rates and amounts before processing payroll.
A current lookup and a saved delivery receipt answer different questions.
Displayed resultWhat to do
Submitted hours matchThe submitted hours match the lookup. Still review additional or recurring earnings and the complete check in Paychex.
Hours differ or are unavailableInspect the original check and saved review. Do not create another check to correct the difference.
No confirmed deliveryInspect Delivery history and reconcile any uncertain record there.
Check lookup unavailableThe earlier delivery remains recorded. Restore access or investigate the lookup; do not resend.

Amount-only or informational earnings may appear without worked-hour values. They still need review in Paychex; a matching hour total does not establish a correct final payment amount.

Resolve delivered-hour corrections in Paychex

Once a draft has been delivered, an unchanged review shows Already delivered. Changed delivered hours show Correction held. This integration does not automatically replace the check.

A correction made in Paychex does not erase the original TakeUrTime delivery record. Keep that history when comparing results. If no worked hours remain, resolve the check in Paychex; an empty review is not a deletion instruction.

If the delivery outcome is uncertain

  1. Keep the delivery held and open its details in Delivery history.
  2. Select Reconcile with provider. This performs a read-only lookup using the returned check ID or exact correlation for the original employee and period.
  3. If the result stays uncertain, retain the delivery and correlation references and ask your payroll administrator or support to investigate the original check.

A missing check, missing correlation or unavailable lookup does not prove that no check was created. Do not resend, disconnect or remap the employee to bypass the hold.

Common setup and review questions

Prepare or Queue is disabled.

Check the connection, saved company feature controls, recorded time-zone confirmation, selected period and matched employees. The application operator must enable writes. Queue also needs a current review with no issues, at least one ready draft and your confirmation.

The period I need is unavailable.

Reload unprocessed periods and check the intended period in Paychex. The integration uses eligible unprocessed periods in INITIAL or ENTRY status, with up to 32 completed days. Do not select a different period just to get the hours through.

My employee or pay component needs verification again.

Reload the provider records. Check active employee status, full name, business email, component compatibility and effective dates. Reconnects require renewed mappings. Inspect any existing delivery before changing a match.

A shift crosses a period boundary or time-zone offset change.

The review requires complete, approved, non-overlapping shifts within the chosen period. Shifts crossing a time-zone offset change are blocked. Have a manager review the original records; do not change the recorded time zone to force delivery.

The review expired, or only part of the batch completed.

Inspect each delivery first. Preserve accepted checks and prepare a fresh review for the original period when instructed. Already delivered employees are identified; do not resend the whole batch.

What should I include when asking for help?

Provide the company, employee, period and check date, review or delivery ID, check ID or correlation, exact error and the difference found in Paychex. Exclude application keys, secrets and passwords.
